POSITION DESCRIPTION

ACCOUNTING ADMINISTRATIVE ASSISTANT

 

 

I.                    OBJECTIVES

A.               To provide administrative support to the Director of Finance & Accounting.

B.                To provide office support to the employees in the Finance & Accounting Department.                                                                

 

II.                 REPORTING RELATIONSHIPS

A.                Reports to: Director of Finance & Accounting

 

B.                 Supervises:  None

 

III.              RESPONSIBILITIES AND AUTHORITIES

 

A.                Performs administrative task for the Director of Finance & Accounting and perform office tasks for the department that may include, but are not limited to the following:

 

1.                  Receives incoming calls and visitors for the Finance & Accounting Department and determines the best course of action.

2.                  Prepares and distributes departmental information, documents and forms as needed to cooperative members, vendors, contractors, the general public and departmental employees.

3.                  Maintains up-to-date procedures to ensure compliance with state and federal regulations as well as Cooperative policies and updating as necessary.

4.                  Prepares RFP bid sheets and contracts for vendors/contractors with information provided by the Director; compiles contracts and bid requests for distribution or mailing; and organizes approved contracts for filing. 

5.                  Prepares and updates the ERP information for review and distribution. 

6.                  Processes invoices and expense reports for department.

7.                  Helps prepare FEMA paperwork as necessary. 

8.                  Assists in preparing and distributing the 4-year Work Plan.

9.                  Records sick leave and vacation absences of departmental employees and prepares appropriate forms for Director’s signature at end of each pay period.

10.              Manages training, travel and lodging accommodations for Director and department employees as necessary. Coordinating this with the Manager’s Executive Assistant.  Also, must be able to analyze importance of necessary work to be performed during day according to time available and necessity of deadlines.

11.              Advises, assists and cooperates on matters pertaining to department functions when authorized and necessary to meet the Cooperative goals.

12.              Performs such other duties as directed by Director.

13.    Assist with data entry to help prepare the monthly financials.

14.    Assist with preparation for audits.

 

 

 IV.      RELATIONSHIPS

 

A.                Internal

 

Director:          To advise, assist and keep informed as required on any matter pertaining to the secretarial and administrative duties; to seek advice, assistance, and information as necessary to effectively perform job.

 

Department:    To provide information and assistance as needed. Keep informed as required on any matters pertaining to departmental issues; to seek advice, assistance, and information as necessary to effectively perform job.

 

Cooperative:   To provide information and assistance as needed.

 

 

B.                 External

 

Members:        To provide advice and information relating to Cooperative policies, procedures and programs. To maintain a courteous and cooperative relationship in all contacts with members, in order to establish and maintain good member relations.

 

Contractors and Vendors: To provide information relating to contract agreements and Cooperative policies, procedures and programs.

 

General Public: To provide information as necessary.

POSITION SPECIFICATIONS

 

FINANCE AND ACCOUNTING ADMINISTRATIVE ASSISTANT

 

EDUCATION:

High school diploma or equivalent required.  Business Administration Associate Degree strongly preferred.

EXPERIENCE:

At least five years of increasing responsibilities consistent with those of an administrative assistant required.  Experience as an office assistant and/or administrative assistant is highly desirable.

JOB KNOWLEDGE:

Must have a thorough working knowledge of general office practices and machines. Good understanding of both state and federal guidelines in accordance with utility safety. A working knowledge of Cooperative Rates, Rules and Regulations is preferred.

ABILITIES AND SKILLS:

Must be able to work without supervision and make decisions about priority of workload. Must have a working knowledge of all Microsoft Office products. Must exercise absolute discretion on confidential matters and use sound judgment and objective attitude in dealing with others. Must have the ability to deal with a variety of customers and members in a manner that will put them at ease.  Good oral and written communication skills required. 

WORKING CONDITIONS:           

Must be able to organize work, make necessary decisions and complete assignments on a daily basis.  Is primarily an inside position with the usual office conditions.  Some travel may be required. Some overtime is required.
